Overview:

FlowPO now includes an invoice option for merchants who want bills in QuickBooks only for items they have actually received. When a supplier ships part of a purchase order, the supplier also sends an invoice for that shipment. Merchants can create a matching invoice in FlowPO for the received items, and Parex Bridge syncs it to QuickBooks as a bill.

Detailed Information:

Choosing the order type
In the purchase order settings of Parex Bridge for QuickBooks, select one of two order types:

  • All Purchase Orders: Purchase orders sync as they always have. No invoices are involved.

  • Received Purchase Orders: Parex Bridge fetches invoices from FlowPO and syncs them as bills. Invoices sync as bills by default.

Sync condition
QuickBooks cannot hold two bills for the same transaction. If an invoice is linked to two purchase orders and either one is already synced to QuickBooks, the invoice will not sync. The purchase order that is not yet synced will sync instead. For an invoice to sync, none of its linked purchase orders may already be synced.

Recommended steps

  1. Change the order type to Received Purchase Orders.

  2. Monitor the sync for newly created purchase orders that are not yet synced.

  3. Create invoices in FlowPO against those purchase orders as items are received. Parex Bridge will create bills in QuickBooks based on the received items.

Partial receipts
If you receive part of a purchase order and create an invoice, it syncs to QuickBooks as a bill. When the remaining items arrive, create another invoice in FlowPO for them. A second bill is then generated in QuickBooks.
