Overview:

FlowPO lets you record supplier or vendor invoices for items received on purchase orders. Received quantities and costs fill in automatically, and totals are calculated for you. Once you save an invoice, the line’s status changes from Received to Invoiced.

Description:

Starting an invoice

  • From the Invoices page: Go to FlowPO > Invoices and click Create Invoice. Select Invoicing From (Supplier or Vendor), then choose the supplier and Receive Location. Click Add Purchase Orders, select the POs, and click Add.

  • From a purchase order: Open the PO and click Create Invoice in the header, or click ⋯ on a received line and choose Create Invoice. Click Confirm. The supplier, location, PO lines and exchange rate fill in automatically.

Completing the invoice

  1. Enter the Invoice Number and check the Invoice Date.

  2. Review the line items (SKU, PO #, Quantity, Cost, Tax, and Total). Click the delete icon to remove a line, or Add Purchase Orders to add more.

  3. Under Shipping Detail, enter the Shipping Amount, Shipping Tax Rate, Discount, and Adjustments if needed. Amounts are in the supplier’s currency, and the Exchange Rate converts them to your store currency.

  4. Check the Totals section, which you can view in either currency.

  5. Optionally, attach the supplier’s invoice (PDF, JPG, JPEG or PNG, up to 5 MB each).

  6. Click Save, or Discard to cancel.
