Error: “Record Already Exists”
Overview:
This error usually appears when syncing orders and payouts from Shopify to QuickBooks Online.
Detailed Information:
Why it happens

A transaction (Sales Receipt, Invoice, or Journal Entry) with the same reference number already exists in QBO.

The same order was manually entered into QBO before the Bridge app synced it.

Custom Transaction Numbers are enabled in QuickBooks, creating a conflict with the order reference from Shopify.

One of the reasons could be that you have multiple Shopify stores connected with our app and using the same prefix to sync orders. If this is the case, we recommend emailing our team to request an update to the store prefixes. Please provide a unique three-letter prefix for each store.
How to fix

In QuickBooks Online, search for the order number shown in the error (e.g., “SPY_#1419”).

If the transaction already exists, please edit the reference number and make sure it does not duplicate with Shopify’s order sequence.

Re-attempt syncing from the Order List>>Pending Orders page in the app.
Tip: If creating a Sales Receipt, Invoice, or Journal Entry manually in QuickBooks, then make sure you assign a unique reference number that does not match with the Shopify reference number.
