How does the product mapping work between Shopify and QuickBooks

Overview:

Product mapping is an automated feature provided by our app to ensure accurate synchronization between Shopify and QuickBooks. This process relies on the product matching criteria defined in our app settings—such as product name, SKU.

Detailed Information:

By default, products are automatically synced alongside orders. The synchronization process uses the matching criteria selected in the app’s settings to map Shopify products to their corresponding products in QuickBooks. If a matching product cannot be found in QuickBooks based on the selected criteria, the app will automatically create a new product in QuickBooks to ensure data consistency.

Below are the matching options you can select based on how the products are being set up in both Shopify and QuickBooks.

 

1. Shopify Product Title - Variant Title matched against the QuickBooks Name field. (e.g. Tactical Shoes - Blue)

If you choose “Name” matching in the app settings, the system tries to match Shopify product titles to the Name field in QuickBooks. A successful match links both the items; otherwise, a new non-inventory item is created in QuickBooks. Please refer to the screenshots below.

  • ✅ If it finds a match → it links them.

  • Example: Shopify Product Title - Variant Title (T-Shirt - L) = QuickBooks Item Name (T-Shirt - L).

  • ❌ If not → it creates a new item in QuickBooks.
     


 


 

2. Shopify Product SKU matched against the QuickBooks Product Name field. 

If you choose “SKU to Name” matching, Shopify SKUs are compared against QuickBooks’ Name field. A successful match links both the items; if none are found, a new non-inventory product is created.

  • ✅ If it finds a match → it links them.

  • Example: Shopify SKU “TS-Blue” = QuickBooks Item Name “TS-Blue”.

  • ❌ If not → it creates a new item in QuickBooks.
     




 

3. Shopify Product SKU matched against the QuickBooks SKU field. (e.g. TS-Blue)

If you choose "SKU" mapping, Shopify SKUs are compared against QuickBooks’ SKU field. A successful match links both the items; if the exact match is not found, then a new non-inventory part is created in QuickBooks.

  • ✅ If it finds a match → it links them.

  • Example: Shopify SKU “TS-Blue” = QuickBooks SKU “TS-Blue”.

  • ✅ This method is more precise if you're using the SKU field actively in QuickBooks.
