Syncing Purchase Orders from FlowPO to QuickBooks Online

Overview:

If your business manages purchase orders (POs) within the FlowPO by Parex app on Shopify, you can seamlessly sync those POs directly into QuickBooks Online using the QuickBooks Bridge app. This guide walks you through subscribing to the Purchase Order Sync feature and configuring it correctly so your inventory and financial records stay in perfect alignment.

Step 1: Subscribe to the Purchase Order Sync Feature

To get started, enable the feature from within QuickBooks Bridge by following this path:

Shopify  →  Apps  →  QuickBooks Bridge  →  Features  →  Click '+Add' next to Purchase Order Sync

Once you click +Add, the feature configuration panel will appear.

 


Step 2: Configure the Feature Settings

Select App Name

From the App Name options, select FlowPO.

Retrieve & Enter Your API Key

The API key links FlowPO to QuickBooks Bridge. To find it:

  1. Open the FlowPO app in Shopify.

  2. Navigate to Preferences.

  3. Click on API Settings.

  4. Copy the API key displayed on screen.

  5. Paste it into the API Key field in the Purchase Order Sync configuration panel.

Set a Sync Start Date

Choose the date from which you want purchase orders to begin syncing into QuickBooks. You may select a start date up to two months in the past.

Choose a Sync Type

Select how FlowPO data should appear in QuickBooks:

  • Purchase Order — Creates a purchase order in QuickBooks Online.

  • Bill — Creates a bill in QuickBooks Online.

Map Expense Accounts

Map your Product and Shipping expense accounts in the settings panel. 

Choose Your Sync Method

Auto Sync → Enable the Auto Sync to have purchase orders pushed from FlowPO to QuickBooks Online automatically. The app checks and syncs new POs every hour, so your records are always current without manual intervention.

Manual Sync → If you prefer control over each sync, choose the Manual Sync option. Your purchase orders will appear under the Purchase Orders tab, where you can:

  • Click "Sync Purchase Order" to push a specific PO to QuickBooks for the first time.

  • Click "Update Purchase Order" to sync any edits or changes made to an existing PO in FlowPO.

Save Settings

Once all settings are configured, click the Save Settings button. QuickBooks Bridge will begin fetching your purchase orders from FlowPO. From that point on, the app runs an automated process every hour to fetch and sync any new or updated POs.


Already using the Purchase Order Sync feature to sync Stocky Purchase orders?

If you are an existing user already using the Purchase Order Sync feature to sync Stocky purchase orders, you will need to click on Edit and select the app name FlowPO.

Remove the Stocky API key, then retrieve and enter the FlowPO API key as mentioned in the above steps, and click on Update Settings.
