Managing Order Update Syncs (Payments & Refunds) to QuickBooks

Overview:

By default, our app automatically syncs all order updates from Shopify to QuickBooks for any orders originally synced by our app.
These updates may include:

  • Item additions or removals

  • Payment updates

  • Refunds

  • Other minor changes that may not significantly affect the order

Whenever Shopify provides updated information for an order, our app resyncs the order to ensure QuickBooks reflects the latest data.

⚠️ Important Note:
If you have manually modified an invoice or sales receipt in QuickBooks that was synced by our app, any subsequent resync will overwrite those manual changes. This happens because the resync uses the most recent order data from Shopify, which does not include your manual edits in QuickBooks.

Some users prefer to disable certain order update syncs to prevent their manual QuickBooks changes from being replaced. To support these needs, Parex Bridge offers add-on features that help manage how order updates are synced.

Below is a detailed explanation of these features.

Our app provides the following two optional features on the Features page:

1. Stop Payment Sync to QuickBooks

If you manage all payments directly in QuickBooks and do not want our app to sync payment details from Shopify, you can enable this feature.

Key points:

  • Applies to all Shopify orders.

  • When payment sync is disabled, refunds will also not sync, and you will need to manage refunds manually in QuickBooks. However, you will get the option if you still want to sync refunds, which you select if required.

If you only want to exclude specific payment gateways (for example, payments made through one gateway should not sync), please email our support team with the relevant order examples so we can review and assist you further.

2. Stop Shopify Order Update Sync

This feature allows you to stop all order updates from syncing to QuickBooks after the initial order sync.

Here is how it works:

  • New orders from Shopify will still sync normally to QuickBooks.

  • Any later updates (item edits, refunds, or other changes) will not sync.

However, you also have the option to allow only payment and refund updates to sync while stopping all other order changes. This gives you flexibility to keep payment and refund data accurate without overwriting other information in QuickBooks.
